Support Staff / Reception

Key Responsibilities:
The Support Staff/Receptionist will be accountable to the Co-Director, Human Resources of Urban Circle Training Centre, Inc. The Support Staff/Receptionist will be responsible for overseeing the front desk reception area and acknowledging all visitors entering the building.
PART B: IMPLEMENTATION

The Support Staff/Receptionist will maintain confidentiality and act professionally at all times according to Urban Circle’s Professional Code of Conduct.

Responsible for answering all phone calls from 8:30 am – 4:30 pm Monday through Friday with the exception of the 1 hour lunch period. The Support Staff/Receptionist will ensure coverage when not available (i.e. illness, medical appointment, etc.).

Responsible for working as a team with the Administrative Support Staff, using good communication and problem solving skills.

The Support Staff/Receptionist will send staff messages to voice mail as applicable.

The Support Staff/Receptionist will ensure to get the caller’s info and check with the staff person prior to forwarding a call.

Responsible for assisting in all administrative duties as requested by staff (i.e. photocopying, faxing, mailing, etc.).

Assists with placing order for staff coffee supplies and maintenance of coffee machines/vending machines in consultation with the Building Manager.

Responsible for notifying the Building Manager regarding the maintenance of water cooler machines.

Responsible for recording all incoming and outgoing mail and correspondence.

Responsible for date stamping all incoming mail. The Support Staff/Receptionist will ensure delivery of private and confidential mail directly to staff person.

Responsible for calling the courier and signing for packages/deliveries.

Responsible for updating and organizing the pamphlet display, resource cabinet, and newspaper stand (i.e. relevant resource materials, newspapers, pamphlets).

Responsible for keeping the common area clean and tidy.

Responsible for ensuring an adequate supply of current program information, program applications, background information, intake schedule, etc., for the resource cabinet.

Responsible for refilling all paper in the upstairs photocopiers and the fax machine. Also ensuring that it is fully stocked at all times.

Responsible for ensuring that all office equipment is properly maintained and serviced.

Responsible for attending regular staff meetings, staff sharing circles and staff professional development workshops as part of the staff team or at the request of the Co-Director, Human Resources upon the availability of coverage for the front desk as applicable.

Responsible for ensuring advertising posters/print are sent out via fax/mail to all contacts in the Recruitment Book, Public Service Announcements, radio, television stations, etc, as requested by the Co-Director and the Operations Team.

Responsible to follow-up on the Recruitment Book process (i.e. to verify if agency received information).

Assists the Intake Coordinator with the Intake Process (i.e. photocopying applications).
